1. Data controller

2. Data we collect

Account data (via Discord OAuth): your Discord ID, username and avatar. Email address only if you provide one.
Usage data: your configuration (monitored servers, watchlists), login logs and bot command usage.
Game data (public): character names, levels, online sessions, deaths and guilds - fetched from publicly available OT server pages. This relates to in-game characters.
Cookies: a single session cookie that keeps you logged in. No advertising trackers.

3. Purpose and legal basis

We process data to provide the Service (GDPR Art. 6(1)(b) - performance of a contract) and to keep it secure and improve it (Art. 6(1)(f) - legitimate interest).

4. Who we share it with

We do not sell data. We use the following processors: Discord (sign-in and alerts), Stripe (payment processing) and Netcup (hosting).

5. Retention

Account data is kept until you delete your account. Game data is kept for analytics purposes and is pruned periodically.

When you delete your account we erase your content (watchlists, events, respawn boards, notes and support tickets) and strip your identifiers (Discord ID, username, avatar, email) from our records. We keep the billing records of any purchases - amount, date and pack - because we are legally required to retain them for accounting (GDPR Art. 17(3)(b)); they are no longer linked to your identity.

6. Your rights

You have the right to access, rectify, erase and object to the processing of your data. Two of these are self-service, and work even without an active subscription:

Access - download everything we hold about you as a JSON file: Discord page → Your data → Download my data.
Erasure - delete your account permanently: Discord page → Your data → Delete account (subject to the billing retention above).

7. Third-party data

The Service processes public character data of players who are not its users. If you are such a person and want to raise a request about your data, email us at contact@tibiascanner.online.

This policy may change - the last-updated date shown at the top of the page reflects the latest version.
